Electronic agreement management

ExDoc is a web based application that makes it possible to scan and register all business critical agreements (e.g. employee agreements, lease agreements and sales agreements etc.) in a database. During registration additional document data is entered (e.g. cancellation date, document owner, counterpart etc.) for each and every agreement. ExDoc's search function will then be able to seek among the registered agreements according to specific criteria, e.g. which agreements must be cancelled in the coming year.

An important part of ExDoc is its handling of users. Every user is assigned a role and permission which limit access to different types of document and functions. Of course, ExDoc logs all events in an audit trail register which means that one can always see who has looked at a particular document or who has changed data about it.

Reminders

With ExDoc’s reminder function it is easy to make sure that one does not forget to cancel an agreement or be ready in good time for an eventual renegotiation. The reminder can be sent to different users and at different times. In this way the user gets an email when it is time to take appropriate action for each agreement.

security

To ensure that no unauthorized can access the content in ExDoc, the system uses an encryption key to secure all information stored in the database. Not even a database administrator can get at the content without knowing the encryption key which is needed to decrypt the data and see the document.
